4.1 Access Security and Document Level
Access control restriction is to limit the access based on the security level of documents created. Regardless of document format or type, each document contains evidence to EPOMS transactions and activities. This too may contain the personal, commercial or sensitive information. Whereas, EDRMS support sharing of electronic contents from EDRMS to external parties with a password for a specific period of time that will expire automatically. EDRMS implement login and security policies feature to enforce a different set of rules depending on user’s profile accessing EDRMS. This is to configure profile permissions to control what action is permissible by each user. EDRMS should decide to define a behavior of the access control mechanism either a user who is not allowed in accessing the document can never see its metadata or a user who is not allowed in accessing the document can see its metadata even though they have not accessed to the document content. Moreover, EDRMS should support OCR scanner ability in directly converting PDF, XLS, DOC or Graphic attachment to searchable content. EDRMS provide text search feature and the search hits are highlighted in the document within the preview pane. It is, however, optional for a service provider to provide a facility such as a scanner to scan large size document. EPOMS is looking for efficiency gain through use of website publishing support, large document management or on premise storage system.
